Community of Practice Sites

Problem Statement

To maintain a consistent approach to information management, Wood Group sponsored a global initiative to restructure the corporate intranet. Specifically, the restructuring focused on COP (communities of practice) sites to improve navigation, increase user confidence, and ensure adherence to corporate governance.

Final Product

Restructured intranet COP sites to render a standard interface across the global enterprise. Standardization and adherence to governance removed ambiguity introduced by site owners. The restructured COP sites improved site navigation and increased end-user confidence in the intranet.

Process

1. Analysis and User Experience Research

Our team initiated the study by cataloging existing sites and identifying current owners. Hundreds of sites were identified and several dozens were decommissioned after verifying with site administrator’s that the sites were no longer needed.

2. Cataloging and Classifying  Site and Content Types

As part of our site owner survey, we offered general site categories to classify and group similar sites.  Additionally, our survey provided a place to self-identify content types. Once we received the site admin feedback, our team created overall site categories. After interviewing site administrators, we were able to produce a list of commonly used content types.

3. Building Standard Components

Using the survey and interview results, my team created generic templates that included the standard components that were discovered during the analysis and cataloging phase of the project.
